Copilot vs Gemini: Which AI Helper Should Your Office Actually Pay For?

Microsoft and Google are racing to become the AI assistant your workplace actually uses. On Sept. 1, Microsoft began adding Anthropic's Claude Fable 5.1 into Copilot, its AI helper for Word, Outlook, Teams and Excel. Days later it added OpenAI's GPT-6 Astra too. In plain terms, Copilot is turning into a hub where several different AI brains sit behind one button. Google is doing the same thing from its side, adding Gemini features for searching company data and for agents (AI that can take actions on its own).

The deciding factor usually isn't which AI is cleverest — it's where you already work. If your company runs on Microsoft 365, Copilot plugs straight into your files, email, meetings and calendar, and it respects the permissions you already have. If your company lives in Google Workspace, Gemini is baked into Gmail, Docs, Sheets, Meet and Drive. Moving your whole company to the other side just to get a smarter chatbot is a big, expensive headache.

Then there's the money, and it's sneakier than it looks. Copilot Business lists at $18 per user per month with annual billing, but you also need a qualifying Microsoft 365 plan on top. Gemini's features are bundled into Workspace tiers starting around $14 per user per month, and Google now offers pay-as-you-go pricing for bigger companies. The catch nobody advertises: whichever assistant you pick, it sees your work data — and companies must decide how long that data is kept. Anthropic normally retains data for 30 days unless an enterprise customer opts out.

The good news is you probably don't have to choose one winner. Many organizations use Copilot or Gemini as the everyday helper inside email and documents, while keeping Claude around for specialized technical work. So the smart question to ask your IT team isn't "which AI is best?" It's "which AI already knows where our stuff lives?"
